BANQUET ROOM CONTRACT

Thank you for considering the Benham Schoolhouse Inn for your banquet or function. Please be assured that our staff will make every effort to provide the personalized service needed to make your event a success. Our banquet menus are offered as suggestions only. Do not hesitate to inquire about items not listed.

FOOD AND BEVERAGE REGULATIONS

It is our policy that no food may be brought in or taken out of The Benham Schoolhouse Inn. An 18% service charge and applicable taxes will apply to all services provided. Groups requesting tax exemption must submit a copy of their State Tax Exemption Certificate prior to the scheduled event.

AUDIOVISUAL REQUIREMENTS

Our staff will arrange for your equipment needs when possible. Your order should be placed with the Inn office manager during confirmation of event orders. All the items below are available for $25 each:

GUARANTEE

Parties of 25 or more must make reservations in advance. Confirmation of attendance for each buffet function is required 72 hours in advance. Sunday, Monday and Tuesday confirmations must be received the proceeding Friday. This number will be considered a guarantee and is not subject to reduction. If no guarantee is received, the maximum number anticipated will be assumed as your guarantee number. We will provide for an additional 5% over the guarantee if space permits. On a function where the guarantee number is less than 25 a labor and room charge will be added to the account. This will hopefully avoid having to redo the set-up of the room at the last minute. Final menu selections should be submitted two weeks prior to the function to insure availability of the desired menu items.

BANQUET ROOM LIABILITY

The Benham Schoolhouse Inn reserves the right to inspect and control all private functions. Liability for damage to the premises will be charged to the representative making function arrangements.

  1. Nails, pushpins, or potentially damaging fasteners may not be used to hang signs or other materials on wall, ceiling or floors.
  2. If a staff employee is requested to assist in set up or tear down of excessive set up, a labor fee will be assessed. Also if there is excessive trash to dispose of, there will be a charge for the disposal.
  3. No vendors or exhibits can be located outside meeting room without prior management approval.
  4. No confetti, glitter or potpourri can be used in a way that it will get on the carpet.
  5. All candles must be in containers that will catch the wax and enclose the flame.

 

PAYMENT

A 25% deposit is required at the time of booking to hold your banquet reservation. Payment for all meetings and banquets must be made in full the day of the function. Menu prices are subject to market changes at any time.

SECURITY AND DAMAGE DEPOSITS

We reserve the right to require damage deposits for any and all meetings and catered events. Deposit may vary according to size and room. Following inspection of the function area, this deposit will be refunded, less any damage expenses. The Benham Inn reserves the right to require security for any group. This security guard will be hired by the restaurant at the expense of the guest at $15.00 per hour.

ROOM RENTAL

Meeting Room 1-4 hours 4-9 hours

Founders Room $75 $100

Harvester Room $50 $75

Great Room $250 $400

The above room charges apply to groups not purchasing banquet or buffet meals. Groups purchasing only refreshment breaks only will be charged room rental. Decorating allowed only on the day of the event. Prior arrangements must be made with management to decorate before the day of the event. A charge will be incurred.

Reminders:

*A guarantee of the number to be served at any catering function is due by ____________. After this date the number can be increased but not decreased.

*Cancellation policy: cancellation must be received 72 hours prior to your group’s function in order to avoid being billed for the total amount.

*All services are subject to a 18% service charge and applicable taxes.

*The restaurant must supply all food and soft drinks served in the banquet rooms.

*It is illegal and against company policy for this staff to have or serve alcoholic beverages on these premises. THE BENHAM SCHOOLHOUSE INN is not responsible for any injuries or damages of personal property incurred as a result of or relating to the use of alcoholic beverages.

*The undersigned assumes all responsibility for damages incurred to the building, premises, contents and your guests during the function as a result of the actions of parties attending, and will be billed by THE SCHOOLHOUSE INN for the repair or replacement of the item or items damaged.
